Terms and Conditions – Bridal Hair by Marybeth

Marybeth Trigwell – Bridal Hair Specialist

These Terms and Conditions form part of the contract between you (the Client) and Marybeth Trigwell trading as Bridal Hair by Marybeth (the Stylist). By paying the booking fee or proceeding with any services, you confirm that you have read, understood, and agree to these terms in full. These terms apply to all bookings, including via the Creative Freedom app portal where detailed quotes, schedules, and communications may be provided.

1. Booking and Payments

•  A non-refundable booking fee of 30% of the total quoted cost is required to secure your wedding/event date. This fee is deducted from the final balance and reserves the date exclusively for you.

•  The remaining balance is due in full one month (30 days) prior to the event date.

•  Payments are accepted via BACS bank transfer only. All correspondence is paperless.

•  For last-minute bookings (within 30 days of the event), full payment is required upfront.

•  If additional stylists or assistants are required, their fees will be added to the final invoice. A sourcing fee of £60 applies for arranging assistants.

•  Failure to make payments by the agreed dates may result in cancellation of the booking without refund of the booking fee.

•  All prices are inclusive of VAT where applicable and are subject to change with reasonable notice.

2. Hair Trials

•  Trials are conducted at the studio (SN10 3QP) and last up to 2 hours. Additional time is charged at £60 per hour but must be booked in advance. 

•  If a trial is requested prior to confirming a booking, a second trial may be required after booking; the first trial fee remains non-refundable if no booking proceeds.

•  The Stylist reserves the right to decline or cancel a booking following a trial if, in her professional opinion, the hair type, condition, or desired style is not achievable to a satisfactory standard and where the thoughts between client and stylist do not align. 

3. Peak Season Minimum Booking

•  For bookings on weekends (Friday to Sunday) during April to September inclusive, a minimum “on-the-day” fee of £450 applies (excluding trial fees and travel costs). If the quoted services fall below this minimum, a surcharge will be applied to reach £450.

•  For bookings below the minimum bridal party size (bride plus 3 others), a surcharge may apply to meet the minimum fee, or the booking may not be accepted.

4. Travel Costs

•  Travel is charged at £0.75 per mile (return journey) from the studio postcode (SN10 3QP).

•  For travel times exceeding 1 hour (one way), an additional £20 per hour may apply.

•  Any parking charges incurred will be added to the final invoice. Please advise in advance if parking is restricted or unavailable at the venue. The client has the responsibility to arrange parking for the stylist. 

•  For events requiring an overnight stay (e.g., travel over 2 hours one way), accommodation costs will be added to the invoice unless provided by the Client.

5. Changes and Cancellations

•  All changes or cancellations must be requested in writing by the person named on the booking.

•  Cancellation charges are as follows:

•  More than 8 months before the event: booking fee only forfeited.

•  3–8 months before: 50% of the total balance due.

•  1–3 months before: 75% of the total balance due.

•  Less than 1 month before: full balance due.

•  Amendments requested within 4 months of the event may incur a 50% charge on the affected portion. Full charge is due on the affected portion if it is 4 months or less to the event. 

•  In the event of cancellation due to COVID-19 or similar government restrictions, the booking fee may be transferable to a new date once (subject to availability); it becomes non-refundable if no suitable alternative date is available.

 

6. Additional Services and Overtime

•  Any additional services requested on the day will be charged at the current rate of the event. This is subject to availability and time constraints.

•  Overtime due to delays outside the Stylist’s control (e.g., late starts, venue issues) may incur fees at the same rate.

7. Unforeseen Circumstances and Force Majeure

•  No refunds or compensation will be provided for delays caused by the Client, bridal party, venue, suppliers, traffic, or weather.

•  The Stylist is not liable for indirect losses or inconvenience arising from such delays.

•  In cases of events beyond reasonable control (force majeure), including but not limited to severe weather, illness, pandemics, strikes, government restrictions, or other emergencies preventing performance, the booking fee will be transferable to a new date if available only. (subject to availability), but trial fees and other payments remain non-refundable.

•  Clients are strongly advised to obtain appropriate wedding/event insurance to cover such risks.

8. On-the-Day Requirements and Information

•  The Client must disclose any allergies, sensitivities, or medical conditions in advance. The Stylist uses professional products but cannot guarantee against reactions if not informed.

•  A suitable workspace must be provided: good lighting, power sockets, adequate space, and access to a toilet.

•  Hair must be clean and dry upon arrival (unless a blow-dry service is booked).

•  Smoking is NOT permitted near equipment or styling areas.

•  The Stylist reserves the right to refuse or limit services if venue conditions are unsafe or unsuitable, or if a client appears impaired by alcohol or substances (to ensure safety and quality). No refund will apply in such cases.

9. Photography

•  The Stylist may take photographs and videos of the finished hairstyles for portfolio and wedding morning content and promotional use (website, social media, advertising).

•  These may be shared with the Client upon request.

•  Clients are requested to provide professional photographs from their wedding photographer where possible for mutual promotion.

10. Privacy Policy

Marybeth Trigwell trading as Bridal Hair by Marybeth, is the data controller for your personal information. Contact: marybethtrigwell@icloud.com 

I collect and process personal data such as your name, contact details (email/phone), wedding/event details, photos of your hair styling, and any disclosed allergies/medical information solely for:

•  Providing and managing your booking and services (including trials and on-the-day styling).

•  Communicating about your appointment, payments, and any follow-up.

•  Occasional feedback requests, reviews, or using anonymised/approved photos for my portfolio and promotion (website, social media).

Lawful basis: Performance of a contract (for bookings/services); legitimate interests (for portfolio photos where it doesn’t override your rights — you can opt out); consent (for marketing/feedback if requested separately).

Your data is stored securely on my work devices and shared only with:

•  Necessary service providers (e.g., booking app like Creative Freedom, bank for payments) under strict confidentiality.

•  Assistants/sub-contractors only if needed for your booking (on a need-to-know basis).

•  No other third parties without your explicit permission (e.g., recommending suppliers).

Data is kept only as long as necessary: typically 6 years for contractual/tax records, or until you request deletion for photos/feedback (subject to legal obligations). No international transfers occur.

You have rights under UK GDPR, including access to your data, correction, erasure (where applicable), restriction, objection, and to complain to the Information Commissioner’s Office (ico.org.uk). Contact me to exercise these rights — I will respond within one month.

For more details or to opt out of photos/feedback use, just let me know at any time.

11. Liability

•  To the fullest extent permitted by law, the Stylist’s liability for any claim arising from the services is limited to the total fees paid for the booking. The Stylist shall not be liable for any indirect, consequential, or economic losses (e.g., disappointment, additional costs, or venue-related issues).

•  The Stylist takes all reasonable care and skill in providing services, but final results depend on factors such as hair condition, weather, and timing, which are outside full control.

12. General

•  These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

•  The Stylist may update these terms from time to time; the version applicable is the one in effect at the time of booking.
